What We’re Looking For:

The Washington Federation of State Employees (WFSE) is recruiting to fill a vacancy in our Legislative and Political Action (LPA) Department for an Administrative Assistant position in Olympia. This position reports to the Director of LPA and provides high-level support to the Director and the LPA Staff. The Administrative Assistant handles all administrative functions of the LPA Department, assists with the daily operations, and collaborates with the Director, Lobbyist(s), and the Legislative and Political Action Organizer (LPAO) to accomplish department goals.

 

Essential Functions

  • Supports the Director of LPA in a diverse range of daily administrative activities, serving as a resource for other LPA staff. 
  • Supports and attends events on behalf of WFSE and the LPA department. 
  • Organizes, plans, and executes meetings and events for the LPA department.
  • Prepare all personnel and payroll documents such as activity reports and staff expense vouchers for the Director’s review and signature. 
  • Oversees the procurement process of the LPA department, orders office and event supplies, tracks invoices, and forwards them to accounting for payment processing. Prepares check requests and orders food for meetings and events. Handles reimbursement processing for members for Lobby Day, Lobby Training, LD 22 breakfast, and Legislative reception. Handles all processing for payment on LPA sponsorships, including needed documentation and forwarding of documents to appropriate groups. 
  • Provides administrative support for the LPA committee and the conservative caucus. Prepares all the paper materials and packets for lobby training, lobby days, and other events.
  • Prints all needed documents, packs supplies, and sets up and organizes all LPA physical goods (table, signage, swag, etc.) for lobby training and other events as needed.

  • Runs the check-in desk at Lobby Training and other events as needed. 
  • Schedules the LD 22 breakfast and other events as needed, including ordering, setting up, taking down, and managing communications with the legislators. 
  • Handles parking lot arrangements and permits for members and guests. Handles Conference room reservations and use. 
  • Manages all correspondence, details, and payments with LPA vendor venues. 
  • Manages LPA databases, including data entry and extraction of information at the request of LPA staff and other WFSE staff for political action efforts. Print the House and Senate bill introduction sheets and the LPA bill tracker daily for the lobby team. Collects, reviews, and inputs data into multiple databases and spreadsheets. Maintain the LPA Department Shared Folder and permissions. 
  • Maintains and assign building keys & parking. Liaisons with leased building owners on any problems that arise for improvements, maintenance, and/or repairs; manages office moves and maintenance agreements on leased or purchased equipment. 
  • Manages office consumables, including office supplies, postage system, kitchen supplies, copier supplies, stationery, etc. 
  • Maintains office filing system, including paper files, file cabinets, and shared electronic files. Organizes and maintains various administrative, reference, library, and other files. 
  • Must have a Washington State Driver’s License.
  • Completes other duties as assigned.

 

Required Qualifications:

  • Five (5) years of progressively responsible experience in office/clerical, secretarial, or general administrative work. 
  • Knowledge and experience in office machines, Microsoft Office Suite, business management practices, and research methods. 
  • Demonstrated ability to maintain a high level of organization and manage multiple projects simultaneously. 
  • Strong oral and written communication skills.
  • May be called upon to carry and move up to twenty (20) pounds; participates in activities requiring extended periods of standing and sitting, indoors and outdoors. 
  • Willingness to work long and irregular hours, including nights and weekends. 
  • Meticulous attention to detail
  • Washington State Driver’s License

 

Desirable Qualifications:

  • Strategic research (e.g., literature review, survey development, data collection, data analysis). 
  • Ability to create and complete corporate or agency profiles based on corporate strategic organizing principles. 
  • Familiarity with Tableau, Survey Monkey, Adobe Creative Suite, Publisher, and SharePoint. 
  • Experience with UnionActive and Union Ware. 
  • Understanding basic labor organizing principles and working experience in a Union. 
  • Excellent interpersonal skills.
  • Ability to work independently.

 

Special Note:

  • This position is overtime eligible.
  • Selected candidates are expected to live within commuting distance of their assigned work location and live within Washington state.
  • This position is eligible for overtime and may be required to work some weekends.
  • Travel is usually limited to the designated area of responsibility.
  • Must have a valid Washington State driver’s license.
  • A motor vehicle report and a background check will be conducted as a condition of employment.
  • Benefits include (12) paid holidays, annual and sick leave, a $150 monthly cell phone allowance, medical/dental/vision, life and long-term disability insurance, 401K, Pension Plan, personal holidays, and more.
  • The salary range is $60,931 to $70,534 and will be determined commensurate with experience.
