What We Are Looking For:

The Washington Federation of State Employees (WFSE) is recruiting to fill an Associate position in the Accounting, IT department located at our Olympia Headquarters.  Reporting to the Director of Finance, this position performs clerical functions for the Accounting and IT Department, including data entry, filing, archiving, organizing expense vouchers, dues processing, troubleshooting, and maintaining various Accounting and IT databases. This position also provides reception coverage at the Headquarters reception desk as needed.

 

This position opens all non-banking mail and sorts mail for department recipients.    The Associate records receipt of Local Treasurer reports and archives accounting records as needed while maintaining relationships with members, payroll offices, collection agencies, and staff.  This position saves copies of the dues checks received and records them into the membership database when processing monthly dues. This position collaborates with the Accounting Department to process dues receipts and other dues-related transactions in membership databases, prepares transactions, and performs data entry; documents and reconciles reports; and maintains other accounting data including importing dues payment and information files, exception reports, creating charges, applying payments, refunds, and charges to locals for expenses that WFSE has paid on their behalf. Prints and keeps all payment statements and produces various membership and dues reports. Maintains spreadsheets of deposits, local expenses, per capita earnings, electronic fund payments, and credit card payments. Enter manual transactions into databases. Reconcile database reports to manual spreadsheets. Calculates Local print job orders. Enter all Local expenses into the databases. Tracking the local union’s monthly treasurer’s report and financial requirements. Acts as contact for the local union’s financial-related questions. Email the per capita statement to local unions. Prepares final distribution for approval. Posts approved distribution and prints all Per Capita Reports. Emails per capita statement to local unions. Correspond with members, staff, and state agencies on dues-related questions.   

 

This position also assists the IT Department with the implementation and upkeep of Spiceworks, an open-source helpdesk solution. May assist with the IT help desk, phone coverage, and help desk requests. Provides technical support for business applications using IT tools such as remote desktops, configured automated systems to deploy software updates/installations, troubleshoot application connectivity issues, and creates and maintains technical documentation for desktop management. Diagnoses, troubleshoots, and maintains IT systems. Learns to operate and maintain new technology and assists in software transitions. Enters data, tracks assets, and runs reports to assist management with business needs on various systems. Maintains and updates information by hand or via data entry in various manual and computerized files, records, and logs. Responsible for scanning, faxing, filing, and copying documents. Organizes files and retrieves data effectively. Prioritizes and multitasks while working within needed time frames. Must have a valid Washington State Driver’s License. Other duties as assigned. 

 

Required Qualifications:

  • Two (2) years of professional accounting experience, including accounts receivable. 
  • Two (2) years of professional IT experience. 
  • Proficient with Microsoft Office programs and 10-key typing.
  • Excellent analytics and data reporting skills.
  • Professional verbal and written communication skills.
  • Valid Driver’s License
  • Basic Database knowledge
  • Ability to meet deadlines.
  • Attention to detail and accuracy.
  • Must have a Valid WA Driver’s License

 

Desirable Qualifications:

  • Experience working in a labor union.
  • Three (3) years of Accounting experience.
  • Bachelor’s degree in Accounting or Finance.
  •  IT professional certifications such as Microsoft, CompTIA A+, Network+, or similar
  • Basic IP troubleshooting skills
  • Basic Active Directory skills

 

 

Special Note:

  • This position is overtime eligible.
  • Selected candidates are expected to live within commuting distance of their assigned work location and Washington state.
  • This position is eligible for overtime and may be required to work some weekends. 
  • Travel is usually limited to the designated area of responsibility. 
  • Must have a valid driver’s license.
  • A motor vehicle report and a background check will be conducted as a condition of employment. 
  • Benefits include 12 paid holidays, annual and sick leave, a $150 monthly cell phone allowance, medical/dental/vision, life and long-term disability insurance, 401K, Pension Plan, personal holidays, and more. 
  • The salary range is $48,911 to $59,780 and will be determined commensurate with experience.
