What We are Looking For:
AFSCME Council 28 is recruiting an Administrative Assistant for our Organizing Department. This position reports to the Director of Organizing. The Administrative Assistant provides high-level support to the Director and the department staff. This position handles all administrative functions of the department, assists with the daily operations, and works with the Organizers and the Director to accomplish their goals.
Essential Functions
Supports the Director of Organizing in daily administrative activities and acts as a resource to office Associates. Manages calendars, sets up meetings and locations, and takes notes of meetings on behalf of the Director. Review and submit employee payroll, expenses, and leave requests to the Organizing Director and Accounting department for processing. Oversee procurement process of the Organizing department and orders office and event supplies, tracks invoices, and forwards to accounting for payment processing. Submits public disclosure requests, union information requests, and Freedom of Information Act requests. Support Organizing department staff with various campaign needs to include Data entry of cards, sign-in sheets, and petitions. Clean up lists to upload into Voter Action Network (VAN) and for Organizers’ use.
Manages organizing databases including data entry and extraction of information at the request of Organizing staff and other WFSE staff for external/internal organizing efforts. Collect, review, and input data into multiple databases and spreadsheets including VAN, UnionActive, UnionWare, Tsmart data matching, address and phone number research, and VAN phone banks & email blasts. Research and schedule meetings and locations for Organizing Director and Organizers. Prepare check requests and order food for meetings and events. Support and attend worksite events on behalf of WFSE and the Organizing department. Edit, prepare, archive, and print campaign materials for distribution and purge outdated materials as needed. Conduct headquarters mail and supplies runs. Leave tracking & managing the Director’s Outlook calendar, phone, and voicemail.
Schedule regular department meetings on behalf of the Director. Updating the Organizing department calendar with meetings, staff leave, various events, and holidays. Send daily and weekly updates to headquarters regarding department events, phone banks, lit, and scheduling. Maintain Org Department Shared Folder and permissions.
Assist the Director of Organizing with weekly, monthly, and quarterly reports for AFSCME International, Executive staff, and Presidents’ Council. Type meeting notes for Org Director. Communication with other departments’ Administrative Assistants regarding event collaboration and support; External Organizing blitz support which includes preparing materials, set up, run debriefs, data entry, and clean up. Answer Organizing department incoming calls and assist members and staff with Organizing information.
Assist with New Employee Orientation and temporary appointments such as: New Hire paperwork, physical office set-up, supplies, office orientation, and VAN access. Collect and track union authorization/interest cards. Maintain and assign building keys & parking and work with building management staff on maintenance and facility issues. Must have a Washington State Driver’s License. Other duties as assigned.
Required Qualifications:
- Five (5) years of progressively responsible experience in office/clerical, secretarial or general administrative work.
- Knowledge and experience in office machines, Microsoft Office Suite, business management practices, and research methods.
- Highly organized and capable of juggling multiple projects simultaneously.
- Strong oral and written communication skills.
- Ability to work under pressure.
- Meticulous attention to detail.
- May be called upon to carry and move up to twenty (20) pounds of weight.
- Valid Driver’s License
Desirable Qualifications:
- Strategic Research – literature review, survey development, data collection, data analysis. Ability to create and complete corporate or agency profiles based on corporate strategic organizing principles.
- Data Analysis – familiarity with Tableau, and Survey Monkey.
- Data Visualization – Adobe Photoshop, Publisher, Share Point, PREZI, etc.
- Experience with UnionActive and UnionWare.
- Understanding of basic labor organizing principles and working experience in a Union.
- Ability to work independently.
Special Note:
It is expected that selected candidates must reside in Washington state. This position is eligible for overtime and may be required to work some weekends. New employees will be subject to a background check and a driving record request. This position is eligible for overtime and may be required to work some weekends. Some travel may be required. Benefits include twelve (12) paid holidays, annual and sick leave, $150 monthly cell phone allowance, medical/dental, life, and long-term disability insurance, personal holidays, and more. The salary range is $59,156 to $68,480 and will be determined commensurate with experience.
