What We Are Looking For:

The Washington Federation of State Employees (WFSE) is recruiting to fill an Administrative Assistant position located in the Olympia field office. Reporting to the Field Supervisor, the Administrative Assistant provides high-level support to the Supervisor and field staff. This position handles all administrative functions of the office, assists with the daily operations, and works with the Associates, Council Reps, and the Field Supervisor to accomplish their goals.

This position supports the Field Supervisor in daily administrative activities and acts as a resource to office Associates in responding to member’s requests and/or complaints. Manages calendars, sets up meetings and locations, and takes notes of meetings on behalf of the supervisor. Prepares all personnel and payroll documents such as activity reports, leave balances, and staff expense vouchers for the supervisor's review and signature.

Additional duties include:

  • Schedule meetings and locations for Field Supervisor and Council Representatives.
  • Prepare check requests and order food for meetings and events.
  • Manages the office archive program.
  • Manage office consumables, including office supplies, postage system, kitchen supplies, copier supplies stationery, etc.
  • Maintain office filing system including paper files, file cabinets, and shared electronic files.
  • Organize and maintain various administrative, reference, library, and other files.

Required Qualifications:

  • Five (5) years of progressively responsible experience in office/clerical, secretarial, or general administrative work.
  • Knowledge and experience in office machines, Microsoft Office Suite, business management practices, and research methods.
  • Highly organized and capable of juggling multiple projects simultaneously.
  • Strong oral and written communication skills.
  • Proficiency in Microsoft Office Suite and related applications.
  • Strong analytical skills using various databases to collect and interpret data.
  • Detail-oriented and able to work in a fast-paced environment.

Desirable Qualifications:

  • Data Analysis – familiarity with Tableau, and Survey Monkey.
  • Data Visualization – Adobe Photoshop, Publisher, SharePoint, PREZI, etc.
  • Understanding of basic labor organizing principles and working experience in a Union.

Special Note:

It is expected that selected candidates live within commuting distance of their assigned work location and live within Washington state. New employees will be subject to a background check and a driving record request. This position is eligible for overtime and may be required to work some weekends. Some travel may be required. Benefits include 12 paid holidays, annual and sick leave, $150 monthly cell phone allowance, medical/dental, life, and long-term disability insurance, personal holidays, and more.  The salary range is $59,156 to $68,480 and will be determined commensurate with experience.
